Getting started

Do I need a credit card to start?

No. Your 14-day free trial starts the moment you create your workspace, with no payment details. You only add a card when you choose to subscribe.

What kinds of businesses use Onboardly?

Any Australian business that hires staff and needs their paperwork and qualifications in order. It suits swim schools, childcare, fitness, allied health, hospitality, community services and trades, and you set up the qualifications that matter in your industry.

What do I need to set up?

Your business details, your sites, your roles and the qualifications each role needs. Then you invite your team and they take it from there.

Can I bring in the staff I already have?

Yes. Import your staff list from a spreadsheet (CSV), or invite people one at a time by email.

Pricing and billing

How much does it cost?

$99 AUD a month plus GST. One plan, every feature included.

How many staff can I add?

Unlimited. Whether you have 5 staff or 500, the price stays at $99 a month.

Can I cancel at any time?

Yes. Go to Settings, then Billing, and use Manage billing. There's no lock-in contract and no cancellation fee.

Your staff and the app

Do my staff have to download an app?

No. Everything staff do works in a phone browser. The Onboardly app for Android (iPhone coming soon) adds push notifications, and staff without it get the same reminders by email.

What can staff see?

Only their own onboarding, qualifications, courses and notifications. Managers see the staff at their own sites, and owners see everything.

Can I add my own training?

Yes. Build courses from written sections and videos (including YouTube and Vimeo), require them by role or by site, and see who's finished on the training matrix. Staff mark a course complete when they're done, and you can ask everyone to complete it again after you update it.

Documents and compliance

How does Onboardly read certificates?

When someone uploads a certificate, Onboardly reads the qualification name and the dates printed on it. A person always confirms what was read, and anything that doesn't match the qualification type waits for a manager to approve or reject with a reason.

When do expiry reminders go out?

30, 14 and 7 days before a qualification expires, and again once it's overdue. Staff and managers get them by email, and staff with the app also get a push notification.

Can different roles need different qualifications?

Yes. Set the qualifications each role needs. A qualification can block onboarding until it's uploaded, or be required but due within a set number of days, like first aid within 30 days of starting.

Payroll, security and data

Does Onboardly work with Xero?

Yes. Connect Xero Payroll from Settings, then Integrations. When a new hire goes live, Onboardly sends their details to Xero Payroll.

Where is my data stored? Is it secure?

Your data is stored in Australia (Sydney), encrypted at rest and in transit. Managers and owners sign in with two-factor authentication.

A few providers process some information to run the service, for example sending email or reading certificates. Each one gets only what it needs. The full list is in our privacy policy.

Who can see my staff's personal details?

Access follows roles: owners, operations managers, site managers (only their own sites) and staff (only themselves). Every document a manager opens is recorded in the activity log.
